Organizational Context
The organization provides staff with practical frameworks to guide daily work and personal development. One framework, previously available only as a static reference, was intended for individual use.

The Challenge
Staff were familiar with the framework conceptually but lacked structured guidance to consistently apply it in daily practice. Without interactive support, engagement was inconsistent, and the framework was often underutilized or forgotten.

My Solution
I designed a short, self-paced learning experience that transforms the static reference into a practice-focused tool. The module guides learners through realistic scenarios, provides structured prompts and examples, and gradually reduces support to encourage independent application.

Outcome Focus
The experience is intended to support consistent use of the framework in real-world contexts. Because the framework is personal and self-directed, there is no practical way to formally measure impact; success is observed through qualitative feedback and user engagement rather than metrics.

Organizational Context
Stoney Church is a Wesleyan church with over 40 years of service, hosting weekly live worship supported by a mid-sized music department. Leadership engaged me to design a learning solution aimed at increasing volunteer preparedness for services.

The Challenge
The music department recently welcomed a new director who needed a way to refresh and reinforce existing procedures for current volunteers. 

The only reference material was a brief handbook with limited depth and no way to assess understanding. With limited capacity to train members while managing day-to-day operations, a structured refresher experience is being designed to improve volunteer preparedness and support a more engaging worship experience.

My Solution

During the project kick-off meeting, the client along with an SME identified a need for clearer expectations and accountability among volunteer worship team members. While members understood service routines, there was no consistent way to verify preparedness or engagement with available resources. 

After analyzing the performance problem, I confirmed that the team needed to be supported by communicating the technical and spiritual preparation guidelines to all team members. This helps create a unified understanding of how learners are expected to prepare before serving in the music department. 

Finally, I suggested to reinforce the expectations by creating accountability cards  for each member to tick boxes corresponding to the preparations they have completed before showing up for rehearsals. Posters are also posted on the rehearsal room to serve as a visual guide on the expectations. 

The client accepted my proposal and we proceeded with the project.

Process

I consulted with the production manager as my SME to develop the action map and establish the overall goal for this project. We decided to measure progress by monitoring the team growth preparedness data. We then identified the topics to help team members better prepare technically and spiritually before serving on Sunday services.

Design
Based on the analysis, I created an action map to define clear goals and measurable outcomes, including improving volunteer preparedness by 10% (later realized as 14%). I designed the solution to include visual guides, accountability cards, and interactive Storyline modules, ensuring that volunteers could both understand expectations and track their progress.

Development
I developed the learning materials using Articulate Storyline for interactive modules, Affinity Designer for visual assets, MindMeister and Figma for planning and prototypes, and Google Cloud for hosting and collaboration. I created checklists, posters, and Storyline activities that reinforced both technical and spiritual preparation.

Implementation
I rolled out the solution to current volunteers and introduced the new accountability tools. I also provided guidance to the music director on how to monitor completion and engagement, making sure the tools were integrated smoothly into existing rehearsals without disrupting operations.

Evaluation
After implementation, I evaluated volunteer preparedness using post-training surveys, accountability cards, and interviews. Comparing pre- and post-survey results, I observed a 14% increase in preparedness scores, supported by positive qualitative feedback. This combination of data validated the effectiveness of the learning solution and identified opportunities for continued improvement.

Outcomes

After implementing the learning solution, I monitored volunteer preparedness through accountability cards and a follow-up survey. I saw that preparedness scores of both new and current members increased by 14%, which was a meaningful improvement. I analyzed data from interviews and found that volunteers were more confident and consistent in their technical and spiritual readiness.

I also spoke with existing volunteers and a relatively new high school volunteer who had recently joined the team. She shared that the materials gave her a clear picture of what to expect, making her feel supported and prepared from her very first rehearsal. Seeing both the measurable improvement and the positive feedback confirmed that my solution successfully strengthened shared understanding and engagement within the music department.

The Problem

New volunteers were joining the team without a clear picture of what to expect. While a basic handbook existed, it lacked depth, context, and guidance on how to prepare for their first rehearsal and service.

As a result, new members often felt uncertain, underprepared, and overly reliant on last-minute direction.

Solution: Scenario-Based Onboarding

I designed a scenario-based onboarding experience that introduced new volunteers to a fictional character named Emma. 

Learners stepped into common first-time scenarios such as preparing before rehearsal, arriving on-site, and guidelines on how to use equipment. Through guided decision-making, they learned both technical expectations (e.g., readiness, coordination) and spiritual expectations (e.g., meditating on word lyrics, studying God's word and prayer).

This approach helped new members build confidence by practicing what was expected before stepping into a live environment.

Result

The scenario-based onboarding contributed to an overall 14% improvement in preparation consistency among new and current volunteers.

New members reported feeling more confident, supported, and clear on expectations from their very first rehearsal, reducing onboarding friction and improving overall team alignment.
